What we collect and why
Our visit form asks for your name, business, service address, email and phone. You may also provide a preferred time and cleaning notes. We keep related enquiry, call, appointment and quotation records so we can respond, coordinate with the person visiting and follow up on your request. Business contact details may also come from publicly available business websites or directories.
Please provide information you are authorised to share. Avoid patient information, access codes, payment details or other sensitive information in the website form. We can discuss necessary access arrangements separately.
Who handles the information
People managing Coconut Clean enquiries and the person carrying out your visit receive the details needed for their role. We use HubSpot for enquiry records and form submissions, Netlify for website hosting, and email services for correspondence. Providers may process information outside Canada under their own service arrangements. We do not sell enquiry details.

Website technology
This website does not add advertising pixels, analytics tools or visitor identity cookies. The form sends your entered information to HubSpot without a tracking identifier. Hosting and form providers may receive technical information such as your IP address and browser details to deliver and protect their services. Fonts and website images are served with the site.
Your choices
Submitting an enquiry allows us to contact you about it. Tell us if you prefer email or phone, or no further sales contact. You can withdraw consent to optional uses, subject to legal obligations; this may limit our ability to arrange a visit or respond. We retain limited suppression details to respect a Do Not Contact request.
Access, corrections and complaints
Email clean@coconutclean.ca with a privacy question, access request, correction or complaint. Include enough detail to identify your record without sending unnecessary sensitive documents. We may verify identity before disclosing personal information.
For personal information covered by BC’s Personal Information Protection Act, we respond within the applicable statutory period, normally 30 business days, and explain any permitted extension or restriction. Unresolved privacy concerns may be raised with the Office of the Information and Privacy Commissioner for BC.
Security and retention
We use reasonable safeguards and limit access to authorised people. No internet service can promise absolute security. Records are retained for enquiry, service and legal needs, then securely removed or de-identified when no longer needed, subject to required retention. Please contact us promptly if you believe your information has been mishandled.
